Last Tuesday morning, I sat with Emma and James in my Foligno studio. Their wedding was scheduled for the following Saturday at Villa San Martino. Emma had a notebook filled with questions about photography logistics. “Should we do a timeline walkthrough? Do you need our vendor contact list? What about backup plans for rain?”

Seven days before a wedding, couples often panic about photography details. They imagine forgotten shots, missed moments, coordination disasters. After eight years of photographing destination weddings across Umbria, I’ve learned that the week before works best when kept simple.

The real photography preparation happens in those final days. Not the big decisions – those should be settled months earlier. But the small, practical elements that determine whether your wedding day flows naturally or feels forced.

Essential Photography Logistics to Confirm

I send each couple a final checklist seven days before their wedding. Not a shot list – I don’t work that way. But practical details that prevent problems.

Venue access times matter more than couples realize. Villa Pianciani allows photography from 2:00pm onward. Castello di Titignano requires photographers to check in with security at the main gate. Borgo Bastia Creti has specific paths for vendors that avoid guest areas during ceremony setup.

Weather backup locations need confirmation, not just discussion. If your ceremony moves from the olive grove to the covered terrace, I need to know by Thursday. Indoor light behaves differently than outdoor light. I adjust my equipment accordingly.

Family photo priorities require one conversation. Not a detailed shot list, but clarity on what matters most. Emma wanted her grandmother with the couple – she was 94 and couldn’t stand for long periods. We planned that photo for immediately after the ceremony, before cocktails began.

What I’m Watching for During Wedding Week

The week before a wedding, I pay attention to how couples communicate. Stressed couples create tense photography days. Couples who trust their choices create space for authentic moments.

I photographed Marco and Sofia’s wedding last October. Three days before, Sofia called me worried about timeline changes. The florist was delayed, cocktails might start 30 minutes late, would this ruin everything? I told her what I tell every couple: authentic moments don’t follow timelines.

Their cocktail hour started at 7:30pm instead of 7:00pm. The light was softer. Guests were more relaxed after extra time to settle in. Some of my favorite images from their wedding happened during those “delayed” moments.

Wedding week anxiety usually centers on control. Couples want to orchestrate perfect moments. But orchestrated moments photograph like orchestrated moments. The best wedding photos emerge from real interactions, spontaneous laughter, unplanned embraces.

During wedding week, I explain how my approach differs from traditional photography direction. I don’t build scenes or arrange people. I position myself where authentic moments naturally occur.

This means I study your venue layout beforehand. At Villa San Martino, guests naturally gather near the cypress trees during aperitivo. The light filters through branches at 7:00pm in September. I know to be there without directing anyone to move there.

I also prepare couples for how this feels different. You won’t hear me calling instructions or stopping conversations for photos. You might not even notice when I’m photographing. Emma was surprised when she saw images of herself laughing with her sister during cocktails – she hadn’t realized I was nearby.

The Realwed approach requires trust during wedding week. Couples accustomed to controlling every detail sometimes worry that undirected photography means missing important moments. But I’ve learned that the most meaningful moments resist direction anyway.

Timeline Flexibility vs. Photography Coverage

Wedding week often brings timeline changes. Vendors run late, weather shifts plans, family arrives early. Rigid photography schedules break under these pressures.

I build flexibility into every wedding day timeline. If ceremony starts 20 minutes late, I don’t end coverage 20 minutes early. If cocktails extend because guests are enjoying themselves, I stay for the natural conclusion.

This requires honest conversation during wedding week. Some couples want photography to end at a specific time regardless of how the day unfolds. Others prefer coverage that adapts to their celebration’s rhythm. Neither approach is wrong, but clarity prevents disappointment.
